    Reporting to the Associate Dean for Academic Affairs, the Registrar provides leadership and directs the Office of the Registrar in support of the academic mission of the Ross University School of Veterinary Medicine. The Registrar ensures regulatory compliance, maintenance of student records and oversight of enrollment and registration policies, procedures, and reporting, validates graduation requirements and coordinates with other University departments to ensure that policies and procedures are followed in order to promote and support academic integrity and the highest level of service to all University stakeholders. The Registrar is the official authorized keeper of the university’s student records and provides formal access for students, qualified employees and third parties and is responsible for collecting, recording, maintaining and reporting of student records within FERPA guidelines. This includes the grades, all registration data, transcripts, Title IV audits and other associated audits. This position provides leadership with a clear vision and measured outcomes

    Responsibilities

    • As part of the Academic Affairs Team, the Registrar is responsible for the management and oversight of the Office of the Registrar.
      Supervises and guides campus Registrar staff regarding University policies and procedures.
    • Supervises Campus Examination Center and Schedulers.
    • Ensures compliance with University-wide goals for student service.
    • Revises University policies and procedures related to enrollment, registration and records as necessary.
    • Oversees the registration and enrollment services of various educational programs. Ensures that students can register and avoid overlap between (DVM and post-graduate) school course schedules. Ensures that requirements comply with policies/procedures.
      Provides reconciled enrollment data to various internal constituencies after the registration check in process has been completed.
    • Leads the development and implementation of new systems, including phone systems, Banner student information system enhancements and Salesforce customer relationship management (CRM) and Image Now document imaging system.
      Since the Registrar is ultimately responsible for all student academic records, this often involves coordinating the implementation across several departments that also use this data, including the offices of Clinical Affairs and Professional Opportunities, and Student Experience.
    • Responsible for collecting, recording and maintaining student records within FERPA guidelines, e.g. grades, registration data, transcripts, mid-term verification, audits. Oversees policy of audits of degree candidates. Ensures efficient student workflows.
      Oversees all communication systems that are vital to the entry of student information.
    • Oversees registration of students for licensing and certification examinations. Supervises the coordination, evaluation and certification of all graduation applications. Oversees the certification, preparation of documents for the licensure of graduates.
    • Oversees enrollment, and the tracking, auditing, reporting, and certifying of academic progress. "Academic progression" includes changes in status such as leaves and probation. Reporting of progress includes transcript creation.
    • Regularly evaluates and prepares statistical reports to meet internal/external requirements and reconcile data to ensure departmental processes are in compliance with appropriate federal, state, system and campus laws, statues, and executive orders related to students (i.e. Title IV, FERPA, etc.).
    • Oversees the enrollment reporting process for internal and external reporting such as accreditation information, stockholder reporting and institutional reporting.
    • Longitudinally tracks student success from matriculation through graduation and able to provide analysis of academic metrics related to attrition, retention, success on examinations, and employment statistics.
    • Develops the departmental budget each fiscal year, approves expenditures and identifies opportunities for potential savings.
      Revises the Student Handbook each term and works with individual department and internal compliance for review and approval
      Assists Marketing with the preparation of the Academic Catalog on an annual basis.
    • Provides student data and support to Institutional Advancement and Alumni Relations in planning and coordinating the annual graduation ceremony.
    • Responds to escalated student questions or concerns.
    • Responsible for file audit and enrollment verification throughout the life cycle of each student from semester one through graduation.
      The Registrar is expected to participate in professional development activities and serve on college committees that support the goals and objectives of the school.
    • The Registrar provides back-up for records and registration services by traveling to campuses, conferences, seminars and other professional development events.
    • The University Registrar must make sure that security measures are applied at all times on the student records and transcript. It is vital that no other student, school, or group can get access to this information.
    • Responsible for solving any problems relating to student records and transcripts.
    • The University Registrar is expected to collaborate with administrators, deans, faculty, IT and counselors to facilitate and improve services to students, including catalog and registration policy questions.
    • Completes other duties as assigned.

    Qualifications

    • Bachelor’s Degree is required; Master’s degree preferred.
    • Minimum of 3-5 years’ experience in registrar operations with supervisory experience required.
      Demonstrated understanding of the application of technology to deliver Records and Registration services.
      Experience in conducting online and in-person training sessions.
    • Must possess excellent customer service and communication skills.
      Experience with Student Information Systems required; experience with Banner software preferred.
    • Strong analytical skills required to identify trends and improvement processes.
    • Project management experience.
    • Professional affiliation with AACRAO (American Association of Collegiate Registrar & Admissions Officers) preferred.
    • Knowledge of principles, practices, methodology, and procedures for maintaining student academic records.
    • Knowledge of FERPA and AACRAO guidelines required.
    • Must be proficient in Microsoft Office product suite.
    • Excellent communication and organizational skills with ability to set priorities and deadlines to ensure projects are completed.
