    The position provides support to:

    • ATGE VP, Controller
    • ATGE, Director, Internal Audit

    The position provides a wide range of administration, general support and analysis duties of a highly responsible and confidential nature. The position will have regular exposure to confidential material and requires high professionalism, discretion and integrity.

    Responsibilities

    • Anticipate the needs and use discretion when setting priorities to keep the leader updated and aware of meetings, agendas, travel, upcoming events, incoming communication, and situations relating to the department.
    • Manage the leader’s calendar and contacts to schedule meetings, proactively address schedule conflicts, make travel arrangements, order/monitor office supplies, reserve and prepare meeting rooms and catering.
    • Prepare correspondence, itineraries and agendas.
    • Monitor departmental mailbox
    • Act as a liaison between the leader and employees, clients and external contacts, by utilizing good judgment in determining when to act independently and when to refer matters for further attention.
    • Coordinate with other departments and prepare documentation for presentation to management and Board of Directors.
    • Maintain accurate records and files, prepare expense reports, code transactions (e.g. invoices, expenses, etc.) and maintain team’s electronic files repository (e.g. Sharepoint)
    • Assist in preparation of departmental budgets and proactively track budget to actual performance including coordination with Accounting for invoicing and accruals.
    • Onboard new hires and consultants including requesting and monitoring physical & systems access.  Support current team members’ logistical and system access needs.
    • Handle a wide variety of complex situations and time conflicts involving the business/administrative functions
    • Offer support and assistance to other departments and employees as needed for special projects and/or events.
    • Complete other duties as assigned.

    Qualifications

    • Bachelors Degree required but may substitute a combination of education and experience.
    • 5 years executive assistant experience.
    • Must be proficient with Microsoft Word, Excel, PowerPoint, Outlook and other Microsoft applications; Meeting note taking.
    • Excellent organizational, oral and written communication skills.
    • Ability to multi-task, work independently and as a team member.
    • Ability to maintain composure when working under pressure.
    • Attention to detail.
    • Ability to use good judgment and discretion daily as well as when presented with confidential information.
